ORIENTATION SESSION

We will be hosting an orientation session in the school library on Wednesday, June 8 at6:30-7:30.  We will go over how the day will unfold, go over expectations, and do a walkthrough of our event.

 

 FLYER DELIVERY

Flyer deliver will take place on Thursday, June 9th starting at 6:00 pm – 7:30 pm. Flyers will be distributed to our volunteers for volunteers to deliver around their community and on their streets.

 

Volunteering Times and Opportunities


Before the Event – Set Up (2-3 hours)1:00 – 4:00pm

On Friday, June 9, there will be a small group of people who will be required to set up as much of the activities inside the school as possible.  This would be ensuring that:

  • Booths are set up (facilitate sponsors)

  • Inflatables Set up

  • Petting Zoo and Little Rays Area manned and set up

  • Stage and Sound System set up (chairs)

  • Touch a Truck Vehicle Setup and staging ( 4:00-4:30pm)

  • Decorations Set up

  • Signage for everyone ( including garbage, washrooms and recycling)

  • Set up Food Stations ( Freezer, Popcorn machine, Cotton Candy)

 

Carnival Games: Friday Night 4:30pm – 8:00pm
Volunteers are expected to:

  • Help man the different Games and stations. 

  • troubleshoot any problems that arise

  • All Attendees will be trained on Game

 

Inflatable Activities : Friday Night 4:30pm – 8:00pm
Volunteers are expected to:

  • Help man the different Inflatables ( you will assist a actual staff member). 

  • troubleshoot any problems that arise

  • All Attendees will be trained


Food Service: Friday Night 4:30pm – 8:00pm
Volunteers are expected to:

  • Help man the different Food Items from popping popcorn to service Hotdogs.

  • troubleshoot any problems that arise

  • All Attendees will be trained

  • Taking Tickets as payment

 

Ticket Sales: Friday Night 4:30pm – 8:00pm (must be an adult)
Volunteers are expected to:

  • Handling money distributing tickets and change when needed.

  • troubleshoot any problems that arise

  • All Attendees will be trained

 

50/50 Attendants: Friday Night 4:30pm – 8:00pm (must be an adult)
Volunteers are expected to:

  • Handling money distributing 50/50 tickets and change when needed.

  • troubleshoot any problems that arise

  • All Attendees will be trained

 

Show and Entertainment: Friday Night 4:30pm – 8:00pm
Volunteers are expected to:

  • Help facilitate stage and ensure acts on stage at needed time

  • Work the Sound system ( music, mics and more)

  • All Attendees will be trained

 

Floater: Friday Night 4:30pm – 8:00pm
Volunteers are expected to:

  • Help where needed

  • All Attendees will be trained in all activities

 

 

Post Event – Clean Up (1-2 hours) (8 pm – 10 pm)

Volunteers are expected to:

  • help put items away in the school and in the front lobby to be picked up or delivered to various places

  • pick up any garbage that is on the premises and to clean up the inside where events took place

  • take down the tents and to take apart the stage

  • to stack the tables that were reserved from the School Board in the lobby of the school

 

All Volunteers

 

We will be hosting an orientation session for volunteers before the day of the event to answer any questions you may have and to do a walk through as well as discuss what is expected of you.  More information on this orientation will be sent to you as we get the details ironed out.  We assume that this will take between 30 minutes to an hour at the very most.

All volunteers are expected to check in at the registration desk where they will get their assignments and their volunteer package.  The volunteer package should include:

 

  • Lanyard

  • 2 tickets for food (if you volunteer all day at the event)

  • last minute instructions

 

For Adults

Adults are needed to manage several key areas of the event.  We have  locations where our guests can purchase tickets for the carnival games, purchase their food and other tickets.  Students are not permitted to handle money so all cash boxes need an adult to be there to handle the money.
 

Adults are also needed to oversee the food area as it can get quite hectic at this location. 

 

For Students 

Please have your volunteer hours sheet filled in so that at the end of your volunteering hours we have kept track of the number of hours of volunteering that you have done and that it can be signed quickly to prevent a bottleneck at the registrations area.

Students are not permitted to handle money.  Always ensure that there is an adult volunteer with you to handle the money in those cases where you are at a station that has money.
